Floods, Heavy Snowfall, Viruses! There are numerous situations that can disrupt our work. What happens when the office is flooded, or you're snowed in at home, or have to self isolate for months?! What happens to your authority's busy workload, the emails in inboxes that need answering, application plans that need checking, inspection visits that need attending. Sometimes it just not an option for everything to grind to a halt. That’s why we’ve designed DataSpace-Live, our online agile solution for processing and managing building control applications, to have your back during an unexpected crisis.
Not long ago Carlisle Building Control's offices were completely flooded with water! But because they use DataSpace-Live - which operates from the Cloud, they were able to login to their account from remote locations outside the office. They were able to access applications and assign inspections as usual and carry on about their normal working day.
Here’s what Matt Dowdell, Building Control Business Development Manager at Carlisle Council, had to say about DataSpace-Live during their crisis:
I have been using Submitaplan to work away from the office on a regular basis for the last 2 ½ years and routinely use the app for scheduling and recording inspections notes. The ability to link photographs straight into inspection reports has been really useful. We’re also working with our builders use the resolution app to schedule their own inspections and access their inspection reports.
One of the key reasons for buying the system in was to mitigate risk to service delivery.  Our office was flooded in 2005 and 2015 and was inaccessible for several days. By having our current workload scanned onto the system we can now carry out plan assessments and schedule and record site inspections remotely. We are not tied to the office in order to work, and there is no risk that loosing the councils servers will stop us working.
The office is now ‘paperless’ with new application either coming directly through Submitaplan, or being scanned in house on receipt. Correspondence is shared through DataSpace-Live together with decision notices and approved plans and details. This has saved on stationery and mail costs, scanning costs and office space.
Matt was also kind enough to say the he found the technical support offered by resolution to be very responsive to their service issues and quick to consider and enact improvements to the system. DataSpace-Live as a Contingency for Covid-19

With Coronavirus forcing people to work from home, we’re currently offering temporary free upgrades so authorities can receive, manage, process and approve applications from home. Whilst government advice is to work at home there will be no additional charges and after this period you can simply revert to your old systems. Applications that are in your account can easily be downloaded as required. You can find out more about what’s included in our Home Working accounts below and download a PDF with more information.

What’s included in our DataSpace-Live Home Working Accounts?
1. What does my home working account give me access to?
 a. Your on -line home working account enables your team to access any applications in your DataSpace Live account that have come through Submit a Plan or been registered manually. The information includes the application form and any attached documents or drawings.
 2. What functionality will I have out of the box? 
 a. There is a full list of functionality attached below to include full plan viewing, measuring, searching, Plan sharing and communications. 
3. How do I enable my accounts? 
a. Just email us with the names, phone numbers and email addresses of your team and we will set them up for you. 
4. Is there additional functionality my team can access? 
a. In addition to the standard features we can enable plan checking, and the inspection App for you but this will take more time to configure and we will prioritise the basic account setup for new departments initially. Again this is outlined in the details below. 
5. Are there any costs involved? 
a. Whilst government advice is to work at home there will be no additional charges. After this period you can simply revert to your old systems. Applications that are in your account can easily be downloaded as required.
